- Contact Information: Email address and phone number, used to communicate with you about your order and deliver your documents.
- Location Information: State of residence, used to prepare state-specific certified notices (Tier II and III).
- Vehicle Information: Vehicle make, model, year, color, VIN, and body type, used exclusively for document preparation.
- Trust Information: Trust name, trustee name, and related information (Tier II and III), used for trust instrument drafting.
- Administrative Preferences: Plate preferences, custom characters, delivery preferences, and special instructions.
- Intake Reference Data: Your assigned intake reference number and package tier.
We collect only the information necessary to prepare and deliver the services you request. We do not require Social Security Numbers, government identification numbers, financial account information, or other categories of sensitive personal data beyond what is listed above.
How We Use Your Information
The information you provide is used solely for the following purposes:
- Document Preparation: Your name, vehicle information, and trust details are used to prepare the documents in your service tier. Your documents will only contain the information you provide.
- Order Communication: Your contact information is used to confirm your intake, communicate about your order status, and deliver your completed documents.
- Member Services Support: Your information is accessible to our Member Services team to assist you with questions, revisions, or follow-up needs related to your order.
- Administrative Record-Keeping: Your intake record is maintained as part of the Malachian Empire Private Vehicle Registry, which serves as an internal administrative record of issued documents.
We do not use your personal information for marketing, advertising, or any commercial purpose unrelated to fulfilling your service request, without your explicit consent.
Information Sharing & Third Parties
We do not sell, rent, or trade your personal information to any third party. We do not share your information with advertisers, data brokers, or unaffiliated commercial entities.
Your information may be shared with the following limited categories of parties, only as necessary to fulfill your service:
- Tre Capital Trust Administration LLC: Our associated document preparation entity, which assists in preparing trust instruments and administrative records.
- Shipping and Delivery Services: Your name and delivery address are shared with the carrier responsible for shipping your physical plate and documents. We use reputable, tracked carriers only.
- Service Providers: We may use third-party service providers (email delivery, secure document storage) who process your information on our behalf under confidentiality obligations consistent with this policy.
We do not share your information with any government agency, law enforcement body, or regulatory authority, except as required by a valid legal process (such as a court order or lawful subpoena) to which we are a party.
Note on Document Content: The documents we prepare on your behalf are intended for you to present to third parties of your choosing. Once you receive your documents, how and to whom you present them is your decision and your responsibility. We are not responsible for what happens to your information once it is contained in documents you choose to present.
Data Security
We take reasonable measures to protect the personal information you provide from unauthorized access, use, or disclosure. These measures include secure storage of intake records, restricted internal access on a need-to-know basis, and encrypted communication for document delivery where supported.
However, no data transmission or storage system is completely secure. We cannot guarantee absolute security of your information, and you submit it with that understanding. If you have concerns about the security of your information, please contact us before submitting sensitive details.
Retention of Information
Your intake record and associated document preparation files are retained as part of the Malachian Empire Private Vehicle Registry for as long as is necessary to fulfill your service, respond to follow-up requests, and maintain administrative records consistent with our private registry obligations.
If you wish to request deletion of your intake record, contact Member Services at 888-597-8825. We will review your request and advise on what records can be removed and any implications for your issued documents.
Your Rights
You have the right to:
- Access: Request a copy of the personal information we hold about you in connection with your intake and order.
- Correction: Request correction of inaccurate information in your intake record. Note that corrections to already-prepared documents may require a re-preparation fee.
- Deletion: Request deletion of your intake record, subject to our administrative record obligations and any limitations noted above.
- Inquiry: Contact us at any time with questions about how your information is handled.

Updates to This Policy
